Results Processing and Volunteer Management

In the early days of parkrun, we wrote our own results processing application and called it Field Management Software (FMS). Some years later, we created an online version, called WebFMS, a web-based application that can be accessed from any computer or mobile device in a web browser

Event Management System (EMS)

We have now developed a replacement to WebFMS, called EMS, which is in use today and is optimised for mobile devices.

Events can use EMS to do the following:

  • Result processing & editing

  • Volunteer Rosters

  • Add cancellations

  • Incident recording

  • Roster Templates

  • Volunteer Summary

  • Manage Users

  • QR code display for result uploading

The live version of EMS, to be used for managing actual events, is available at ems.parkrun.com
There is a training version of EMS available at ems-training.parkrun.com

EMS works best on the Google Chrome web browser.

We also have a chat facility, accessible via EMS itself and available via https://tools.parkrun.com/support to help volunteers with result/roster processing issues on event days. The service is monitored by volunteers who are happy to advise and help.

WebFMS will retire soon. Please use EMS for results and volunteer processing.

Logging In to EMS

To access EMS, your parkrunner ID (A number) and profile password must be used.

If you can’t log in to EMS please reset your profile password visit https://www.parkrun.com/resetpassword/
If you continue to have problems, please check with your Event Director to ensure you have been added as an EMS User.

QR Code

This QR Code is specific to this event and when scanned by a volunteer barcode scanner or timekeeper using the Virtual Volunteer app, allows them to directly upload scans/times for results processing.

Because this QR code allows EMS to be populated with scan/times directly, it should be treated like a password and Run Directors should only show this code to volunteers as required on the day.

It should not be posted to Social Media or emailed to volunteers.

If an event’s QR code has been leaked, please contact Event Support for it to be regenerated.

Removing Results

parkrunners receiving their results is a fundamental principle of what we do.

There are occasions when we need to remove a participant's result. This could be due to a genuine scanning mistake, however, we also reserve the right to remove a participant’s result where we feel our code of conduct has been breached. Such breaches can include situations where an Under 11 participant has been unaccompanied or anti-social behaviour.

In most circumstances, results should not be removed for a first-time occurrence. An incident should be recorded via WebFMS detailing the individuals involved and the nature of the issue.

Where an event team feel there has been a breach of the code of conduct they should not remove the participant’s result themselves. In all cases, the participant and their responsible adult, if necessary, should be communicated with, preferably face-to-face to discuss the situation. It should be noted that if there is a repeat occurrence this could mean the removal of results in the future and a further incident should be raised and parkrun HQ will investigate, which may result in a result being removed.

Participants who scan at multiple events on the same day will have their second result removed by parkrun HQ.

Event teams should not remove results in any circumstances other than admin errors.
